Department Description

The Department of Operations is responsible for providing, managing and optimizing the tools and resources required for Egale to efficiently execute its mission.

Job Description

Reporting to the Director Operations, the Operations Coordinator is responsible for coordinating day-to-day business operations and working across all departments to support project planning and execution. Duties include, but are not limited to the following:

Roles and Responsibilities

Day-to-day Operations (50%)

  • Admin / Clerical
    • Assist with data entry and filing
    • Manage shared calendars and room booking
    • Document standard operating procedures and contribute to internal process improvement
    • Provide administrative assistance to Executive Director
  • Reception
    • Greet guests and visitors to Egale main office and other sites as needed
    • Source and prepare refreshments for meetings and staff appreciation events
    • Receive and direct incoming calls and emails
  • Vehicle maintenance
    • Detail Egale vehicles on a regular schedule
    • Change tires seasonally
    • Maintain license registration
  • Inventory management
    • Fulfill purchase orders for customers and clients
    • Organize stock room and track resources
    • Manage accounts with vendors
  • Facilities
    • Work closely with Egale’s Joint Health and Safety Committee to maintain a safe working environment at all Egale locations
    • Manage relationships with custodial services and contractors
    • Stock office supplies

Program Logistics (30%)

  • Work with project leads from all departments to coordinate program and event logistics
  • Book flights, venues and accommodations
  • Arrange catering, décor, A/V, etc
  • Assist with evaluation and reporting

Finance (20%)

  • Budget and track administrative spending
  • Procure resources and supplies when required

 

Requirements / Qualifications

  • Degree in relevant field or equivalent work experience
  • Understanding of intersectionality and anti-racist/anti-oppressive (ARAO) practice
  • Strong organizational, planning and project management skills
  • Ability to determine priorities, be self-directed and work with minimal supervision
  • Works well independently and as part of a team
  • Strong team-oriented skills
  • Ability to flex and adapt quickly based on multiple channels of feedback
  • Must be flexible and able to manage multiple priorities
  • Must have ability to effectively manage a project from its initiation to delivery
  • Familiarity with the LGBTQI2S community and LGBTQI2S human rights more generally
  • Experience working in a not-for-profit, LGBTQI2S community and/or social justice environment
  • Proficient in a variety of computer applications (e.g. MS Office Suite, Google applications)
  • Written and Oral proficiency in French is preferred
  • Ontario G driver’s licence required
