Under the direction of the Director of Special Projects, the office manager is an integral component of Egale’s day-to-day operations and ensuring the office is maintained in an orderly fashion:

 Provide reception duties, and act as a first point of contact for the organization to all staff, clients, and members of the public, exhibiting a consistently high level of customer service

 Answer all telephone and email inquiries efficiently and effectively, and refer to appropriate staff as required

 Administer local, provincial, and federal legislative reporting, including license fees, insurance certificate, etc.

 Maintain records and update vendors information regularly

 Coordinate and facilitate Egale’s buildings and/or properties, such as applying for building permits, informing routes changes, providing updates to employees

 Coordinate all logistics for departmental programs such as meetings and events, including booking locations, arranging coffee and food service as necessary

 Maintain office and kitchen supplies inventory, arrange servicing of office equipment as necessary, and ensure the office is kept clean and well-organized

 Receive and respond to concerns regarding our multiple office and service facilities, contract and arrange service and repairs to ensure issues are resolved

 Oversee the scheduling and maintenance of our vehicles as needed

 Organize office procedures such as daily opening/closing of main office location

 Provide support to the Senior Management team as required, including scheduling meetings, booking travel, etc

 Create and maintain a fun and vibrant working environment for staff and visitors

 And other duties, as directed, for the delivery of the department’s strategic priorities and/or to meet key deadlines.

 Is a team player willing to jump in and assist with a variety of duties as needed

 Is a self-starter who can take ownership for all office and admin operations

 Is highly organized and a good problem solver, who can quickly prioritize and respond to new and unexpected issues or tasks

 Brings a minimum 5+ years experience providing administrative support and managing a dynamic, busy office environment  Is comfortable with technology and proficient in Office 365 (Outlook, Word, Excel, PowerPoint)

 Brings a strong understanding of intersectionality and Anit-Racist and AntiOppression practices

 Has experience working in a not-for-profit, LGBTQI2S community and/or social justice environment

 Has knowledge / lived experience with the diverse experiences and identities of LGBTQI2S communities
